    What is a Zoom Room and how is it different from a standard Zoom meeting?

    This is a common area of confusion, so here’s an easy way to think about it:

    • A standard Zoom meeting is a virtual meeting that takes place in the Zoom app.
    • Zoom Rooms are physical spaces that have been converted and optimised for video conferences, audio calls and more – all powered by Zoom software.

    Don’t think of it as a single piece of technology; think of it as multiple technologies being utilised by your team in a room of your choosing – this will become the epicentre of your internal and external communications.

    What hardware do I need for a Zoom Room?

    A Zoom Room brings together a few certified components: a compute device that runs the Zoom Rooms software, one or more displays, a Zoom Rooms controller for one-touch join and call control, a conferencing camera, and a microphone and speaker setup. 

    Smaller huddle spaces can use a single all-in-one video bar that combines camera, mic and speaker, while larger boardrooms benefit from multiple cameras, ceiling microphones and dual displays.

    Can Zoom Rooms work with other comms platforms?

    Absolutely. This is a feature called Direct Guest Join and solves a very common headache: You primarily communicate via Zoom, but your client uses Microsoft Teams or Google Meet.

    Instead of forcing you to scramble for a laptop or log on to another platform, Zoom Rooms lets the hardware easily connect to other comms platforms for third-party meetings. To do this, simply add the meeting invite to your connected email calendar as normal. When you walk into the room, your touchscreen controller will have the meeting ready and waiting for you, with a ‘Join’ button. It’s that simple.

    How many Zoom Rooms can I deploy?

    As many as you like. There’s no hard ceiling on the number of Zoom Rooms you can deploy across your business. You can scale your deployment from a single huddle room up to thousands of rooms scattered across many offices.

    What is a Zoom Rooms Smart Gallery?

    A nifty feature, Zoom Rooms Smart Gallery gives everyone in a video conference an individual presence and voice, even if they’re technically sharing the same camera.

    When the meeting begins, if only one camera is in use to capture multiple people, Zoom Rooms will detect each face using AI, crop the image, and create a single video feed for each member of the call. 

    This creates an even playing field for everyone involved, helping to avoid instances of team members feeling shunned, while also having a more intimate view of body language and facial cues.

    Can I book and manage rooms and desks through Zoom Rooms?

    Of course! This is handled by a feature native to the Zoom ecosystem called Zoom Workspace Reservation.

    Employees click a “Workspaces” tab in the Zoom app they already use. It displays a 3D or 2D floor plan of the office. They can see which desks or rooms are free, see where their teammates have booked to sit nearby, and reserve a spot with a few clicks. 

    These are all fully customisable, too. So you can change the digital layout of your office to match any physical changes you make.
